Ýves’ heraldry submission checklist |

This is for the local SCA group herald (pursuivant). The checklist includes all the deliverables that I would require from a client. I used earlier versions of this as a baronial pursuivant.
The official submission instructions and forms for Meridies are available from the Kingdom Web site.
As Mistress Bronwen did, they are addressed to the local herald.
However, I still like the idea of a local herald having and using a checklist with instructions that are addressed to the submitter
(or, as I prefer, client).
Below, replace "#", "_", and "(name)" with what is appropriate for your kingdom before using the checklist. If you do use this checklist template, I'd love to know...
Yves’ sample heraldry submission checklist
This version: 16 October 2004.
To submit a device or badge, you must:
[1] have a registered name, or
[2] have a submitted name being processed, or
[3] submit a name at the same time.
Please provide the following items as appropriate:
| __ | NAME DOCUMENTATION: For each source, # photocopies of both the title page and the page that ties the name element to a year before 1600. Indicate the relevant part by circling – highlighting is NOT recommended. You need only one source for each name element. If the names and dates are all in one book, great! Note: The official rules on SCA heraldry are online. The
handbook includes lists of standard references and a list of name references
that are NOT acceptable as documentation for submissions. See the Administrative
Handbook of the College of Arms, especially Appendixes E and F.

| __ | NAME SUBMISSION FORM: One copy. The herald has to fill in more information and can make the other copies required. |
| __ | BADGE/DEVICE SUBMISSION FORM: # color copies and one black/white copy. If there are no other colors in the badge/device, just one black/white. On all versions, the smaller "mini-emblazon" is an outline drawing only, no shading. Leave the line for "Consulting herald" blank. |
| __ | BADGE/DEVICE DOCUMENTATION: This is rarely necessary. To submit something based on historical use that "bends the rules", it is good to provide some pictures showing that the style is authentic and was used either by many people in the same area at the same time OR by many people in different areas at different times. Heralds who are skilled in name research and commenting can likely help with this. |
| __ | PROOF OF MEMBERSHIP: # photocopies of either the front of the client's current SCA membership card or mailing label, with a future expiration date, from an SCA publication. |
| __ | PAYMENT: $__ for each action (or with proof of membership, $_ per action) made payable to KINGDOM OF (name) - SCA, INC. as either a check or money order. One name, device, or badge is an action. For an SCA group (officially, a "chapter"), the price is $_ per action. |
If a submission is returned, the client may re-submit [for $2] within one year of the return date.
